Space Reservation & Registration Procedures
All Recognized Student Organizations are required to register their events through . This event registration process is to ensure that student organizations are in compliance with RSO Policies & Procedures.
To ensure the timely reservation of spaces for meetings, information tables, and events, the following procedures have been set in place.
Information Tables
- Information Tables are defined as a single table activity hosted by a student organization with the intent of promoting the group and/or its programs. This does not include tabling events like food fundraisers and fairs.
- Groups may directly contact one of the University reservation specialists to reserve a table space in the Rhatigan Student Center and/or academic buildings.
Meetings
- Meetings are defined as student organization activities for the purpose of doing group business. This includes recurring executive board and member meetings.
- Groups may directly contact one of the University reservation specialists to reserve a meeting space in the Rhatigan Student Center and/or academic buildings.
- To promote your organizations and to connect prospective members with your organization, meetings must be submitted to ShockerSync using the event registration process. During this process, you will include the confirmation number you received for your reservation.
Events
- Events can be defined as any public and/or social occassion that extends to service and philanthropic initiatives. This includes but is not limited to campus wide events, fundraisers, community service, and socials.
- To secure a space for events, student organizations may reach out to reservation specialists
to place a hold on an event space. This allows for the group to tentatively hold a
space during the initial event planning process.
- Request a space with the Rhatigan Student Center and/or other reservation specialists. The coordinator will make a Tentative Reservation that will remain on hold for two (2) weeks.
- To secure the reservation the group must register the event through ShockerSync during the two (2) week period. In the event registration process, select that you have a previous reservation and include the confirmation number. The event services team will confirm the reservation and send you an official confirmation.
- If the group fails to submit the event registration in the two (2) weeks the Tentative Reservation will be released.
- Please note - all event registrations must be completed at least ten (10) business days prior to the event occuring. Event marketing may not occur until the event registration process has occurred and the event is approved.
